DEPT: Sales
REPORTS TO: Senior Management / Managing Director
PURPOSE OF JOB:
To support the Managing Director, Senior Account Manager and Office Manager by administering the sales information system and provide all other administration services for the sales department and staff. Provide the sales team with an important link between themselves and the clients by processing related paperwork, arranging appointments, and generating leads. They will also be responsible for dealing with invoices, chasing debtors, and monitoring the order process.
PRINCIPAL ACCOUNTABILITIES
- Provide administrative assistance to the MD, Senior Account Manager and Office Manager producing letters, memos, reports, spreadsheets, filing, and general administration for the sales department.
- Initial Sales team member to answer the telephone and direct the calls.
- Update internal sales logs and follow up in an effective manner whether by phone, email or digital campaigns.
- Respond to sales enquiries and concerns by phone, electronically or in person. Act as a point of contact for customer queries in the absence of any sales staff.
- Satisfactorily deal with any sales enquires within 24 working hours. To ensure that the Managing Director is aware of any issues and difficulties in sales or any administration processes.
- Excellent interpersonal skills, with the ability to communicate effectively with management teams.
- Able to communicate and gather information from other departments in the business.
- Work with the sales, account management and operations teams to implement targeted sales strategy.
- Create digital marketing campaigns (training provided) and track performance and cost analysis.
- To maintain a simple and systematic filing system.
- To ensure good customer contact and maintain an adequate flow of information to sales team.
- Analyse pipeline and lead data, deliver periodic reporting to the sales and marketing teams providing conversion rates, win and loss rates and forecasts.
- Provide assistance to sales team in the preparations of proposals, tenders and quotations.
- Able to work within a fast paced team environment.
- Assist with reception duties and undertake general office administrative duties for the team as necessary.
- Shred and dispose of confidential waste.
- To ensure that all sales records (manual or electronic) are kept up-to-date and accurate.
- Monitor and report on sales activities and follow up for management.
KNOWLEDGE SKILLS AND EXPERIENCE REQUIRED
- IT skills such as Microsoft Office.
- Organisational skills, ability to prioritise workload with attention to detail. Proven ability to drive the sales process from plan to close.
- Have an interest in digital marketing and building campaigns and tracking performance.
- Be able to communicate successfully in both written and verbal format.
- Be cordial and amenable.
- Confident, tactful and have a persuasive manner.
- Good organisational and time management skills with the flexibility to prioritise as necessary.
- Demonstrates the ability to carry on a business conversation with business representatives and decision makers. Ability to work under pressure.
